The Compliance Administrator supports the project teams. This individual will provide administrative accounting support to operations for all projects. This person understands how to develop and maintain positive relationships that result in long-term partnerships with clients, subcontractors and consultants. The Compliance Administrator excels at consistent and accurate communication with all parties involved in the project process. The individual requires organization and diligence to ensure the accounting department is providing a high level of service to all internal and external clients. In addition, this individual will be exceptional at multitasking. This position reports to the Director of Administration and has other direct responsibilities for the Operations teams.
o Weekly Compliance reporting on subcontractors to Project Teams (Via Textura)
o Subcontractor Insurance review and tracking (OCIP’s when applicable)
o Subcontractor Default insurance project enrollment & reconciliation.
o Procure WEO insurance certs
o Procure WEO Payment and Performance Bonds
o Assist in procurement of Subcontractor Payment and Performance Bonds (When applicable)
o Process project payable invoices (vendor invoicing)
o Collect Use Tax Affidavits, and run reconciliation audits when required
o Order WEO insurance certs
o Attend Hand-off meetings for your specified projects.
o Subguard enrollment
o WEO P&P Bond procurement
o Builders risk policy procurement (when WEO required/$5M + projects)
o Order tax exempt certs when applicable & distribute to subcontractors
o Review and status subcontractor insurance certs in Textura
o Status Textura compliance and issue to operations weekly
o Use tax audits and subcontractor exhibit collection
o Transcepta (or other) owner payment system data entry
o Misc. Project Admin – hydrant usage, etc.
o PCI Subcontract change order and subcontract issuance & tracking via DocuSign.
o Process AP Vendor billings for PM approval
o Pre-vet subcontractor payments – affidavit review, corrections and sub tier waiver management
o Joint check agreement management and Joint check issuance.
o Authorize compliant subs (after… owner funding)
o Address sub payment inquiries

This position has no supervisory responsibilities.
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

This is a full-time position, and hours of work and days are Monday through Friday, 8:00 a.m. to 5:00. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 8:00 a.m. to 5:00 p.m. and must work 37.5 hours each week to maintain full-time status. Occasional evening and weekend work may be required as job duties demand.
