Position Overview

Secretary / Receptionist

The Secretary / Receptionist is the first person a client or visitors see upon arriving at the project office.  Serves visitors by greeting, welcoming and directing them appropriately.  Notifies company personnel of visitor arrival.  Responsible for handling front office reception and administration duties, including answering phones, handling company inquires and sorting and distributing mail.  This includes performs clerical and administrative tasks that include but are not limited to:

  • Answer and screen incoming calls.
  • Handle and redirect customer inquiries.
  • Take and distribute messages.
  • Manage all visitors.
  • Organize incoming and outgoing mail.
  • Coordinate meetings and appointments.
  • Organizing and servicing meetings (producing agendas and taking minutes)
  • Typing, preparing and collating reports.
  • Filing,
  • Keep files and documents organized.
  • Managing databases.
  • Office machine operation.
  • Prioritizing workloads.
  • Assist with organization of company functions and events.
  • Prepare letters and documents.
  • Perform additional assignments per supervisor’s direction.


Skills, Knowledge, Qualification and Experience:

Working knowledge of general office procedures plus ability to organize and coordinate group work efforts required.  Competency in Microsoft applications including Word, Excel and Outlook.  Scanning copying, filing, detail oriented and phone experience.  Minimum 2 years administrative experience or equivalent combinations of training and related experience.
