Position Overview

Your Team

This Project Coordinator is a critical position within the Development Operations Team and reports to the Director of Development. The Project Coordinator is responsible for a broad variety of tasks including, but not limited to contract administration, construction administration, coordinating with the City and utility companies along with coordinating with other internal Brookfield departments.

Your Key Deliverables

Contract Administration

  • Assist to prepare master contract documents, addendums and change orders for consulting and construction contracts.
  • Ensure collection, tracking and verification that contracted consultants and contractors are in compliance with insurance requirements.
  • Respond to preliminary notices and ensure tracking and collection of conditional and final unconditional lien waivers for each construction contract.
  • Assist Development Manager to coordinate and prepare construction bid documents for TIRZ, MUD and non-TIRZ / MUD Work.
  • Ensure all construction related change notices are addressed in a timely manner and contract change orders are processed, analyzed and accounted for within the budget.

Design Coordination

  • Assist Development Managers with engineering and planning design coordination.
  • Assist Development Managers in scheduling, civil, landscape, and utility drawing approval process.
  • Maintain records of approvals, engineering plans, permits, etc.
  • Maintain SharePoint & OneDrive Sites.
  • Coordinate with Consultants on distribution of design drawings to the Development team, builders and others.

City Liaison

  • Conduct inquiries with the City on behalf of Builders or Developers.
  • Coordinate with District Engineer or District’s Designee in the MUD bid process.

Finance and Accounting

  • Assist Development Manager to run monthly job cost actual reports for updating project cash flows.
  • Assist in coding invoices within LandDev
  • Assist Contract Manager to maintain and track TIRZ / MUD and City Share construction reimbursements.
  • Coordinate with Development Manager & Accounting Department to prepare and submit audit of costs for TIRZ and MUD Boards
  • Contribute to development of planning, scheduling and estimating process in daily operations and annual financial Business Plan updates.
  • Conduct historical cost comparisons and provide support for budgeting and tracking purposes.

Construction Administration

  • Assist field representatives in all facets of land construction and ensure all conditions of permits are met to ensure timely construction start dates and turnover of improvements at final acceptance to the City and HOA.
  • Coordinate, process, and track final turnover documentation with the City agencies, home builders, and HOA for all improvements.
  • Maintain the file system to house current construction drawings and reports for the various Brookfield Texas projects.
  • Maintain user access to all outside platforms.
  • Secure, track and maintain construction permits, SWPPP NOI and NTPs.
  • Coordinate with the Development team, various City agencies, and Utility Companies for electric, gas, and water meter sets. Track location of electric, gas, and water meters for each community.
  • Coordinate transition of electric, gas, and water meters to HOA.
  • Coordinate with the US Postal Service on mailbox locations and mail service for the various projects.
  • Coordinate with planning/architectural consultants on lot fit analysis & parcel product map (i.e. plot tracking)

Miscellaneous

  • Research projects and special assignments as requested

Must Haves

  • Minimum two years’ experience in homebuilding/land development industry
  • Successful experience in a similar role with another company
  • Strong Communication and interpersonal skills
  • Developing decision-making capability and problem solving
  • Follow-through skills and detail orientation
  • Ability to work with limited or no supervision
  • Customer service orientation
  • Organization and planning skills
  • Ability to deal with pressure and adversity in a multi-tasking environment
  • Computer competent (Word, Excel, Microsoft Project, others)
  • May require travel to various project sites and other off-site locations
  • Sitting for long periods of time in front of a computer
